Terms of Service

1. Acceptance of Terms

By downloading, installing, or using Paper2Form ("the App"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these Terms, do not use the App.

2. Service Description

Paper2Form is a mobile application that enables you to:

  • Scan paper documents using your device camera
  • Extract text from documents using AI-powered analysis (Firebase Vertex AI)
  • Map extracted data to digital form fields
  • Submit responses to Google Forms (via Google Forms/Drive API) and Microsoft Forms (via in-app browser)

Document processing uses cloud-based AI services (Google Firebase Vertex AI). You may select regional servers (e.g., EU) for processing in accordance with your privacy preferences.

3. User Accounts

  • You may optionally authenticate with Google or Microsoft to access your forms
  • You are responsible for maintaining the security of your accounts
  • You must be at least 13 years old to use the App
  • A device identifier is used to track usage across the app

4. Acceptable Use

You agree NOT to:

  • Use the App for any unlawful purpose or in violation of any applicable laws
  • Process documents containing illegal, harmful, or offensive content
  • Infringe upon intellectual property rights of others
  • Attempt to reverse engineer, decompile, or modify the App
  • Circumvent usage limits, quotas, or subscription requirements
  • Use the App to send spam or unsolicited form submissions

5. Intellectual Property

  • The App, including its design, code, and content, is owned by Paper2Form
  • You retain full ownership of your scanned documents and extracted data
  • We do not claim any intellectual property rights over your content
  • Your documents are not used to train our AI models

6. Subscriptions & Payments

Paper2Form offers both free and premium subscription tiers. When you subscribe, you are purchasing access to AI-powered document processing capacity, measured in AI scan credits.

What is an AI Scan?

One AI scan credit is consumed each time the App sends a document (one or more pages) to the AI service for text extraction and field mapping. This includes:

  • Single-document scans processed individually
  • Each document in a batch scan (e.g., a batch of 5 documents consumes 5 credits)
  • Scans that fail due to poor image quality, unreadable text, or AI processing errors

Credits are consumed at the time the AI processing request is initiated, regardless of whether the extraction is fully successful. This is because AI processing resources are allocated per request.

Free Tier

  • Limited to 10 total AI scan credits (lifetime)
  • Full functionality for testing the service

Paid Subscriptions

  • Basic: 4 AI scan credits per day
  • Premium: 40 AI scan credits per day
  • Business: 400 AI scan credits per day
  • Enterprise: 1,200 AI scan credits per day

Payment & Billing

  • Subscriptions are managed through the Apple App Store or Google Play Store
  • In-app purchases handled by RevenueCat
  • Subscriptions automatically renew unless cancelled
  • Refunds are subject to the respective store's refund policy
  • Prices may vary by region and are displayed in local currency

7. Usage Limits & Quotas

  • Daily scan credits reset at midnight UTC
  • Unused daily credits do not roll over to the next day
  • Batch processing reserves credits upfront for all documents in the batch
  • We reserve the right to modify limits with reasonable notice
  • Attempts to bypass quotas may result in account suspension

8. AI & Accuracy Disclaimer

The App uses AI to extract text from documents. Please note:

  • AI text extraction is not 100% accurate
  • Always review extracted data before submitting to forms
  • We are not responsible for errors caused by misread text
  • Handwriting, poor image quality, or unusual fonts may affect accuracy

9. Service Availability

  • The App is provided "AS IS" and "AS AVAILABLE"
  • We do not guarantee uninterrupted or error-free service
  • We may modify, suspend, or discontinue features with reasonable notice
  • AI models may be updated or changed to improve performance

10. Limitation of Liability

To the maximum extent permitted by law:

  • We are not liable for indirect, incidental, special, or consequential damages
  • Our total liability is limited to amounts you paid in the past 12 months
  • We are not responsible for third-party services (Google, Microsoft) availability

11. Termination

We may terminate or suspend your access to the App:

  • For violation of these Terms
  • For fraudulent or abusive behavior
  • For attempts to circumvent usage limits

Upon termination, your right to use the App ceases immediately.

12. Changes to Terms

We may update these Terms from time to time. Continued use of the App after changes constitutes acceptance of the new Terms. Significant changes will be communicated via the App or website.

13. Governing Law

These Terms are governed by the laws of Germany. Any disputes shall be resolved in the courts of Germany.
